01Describe the goods
Start with a clear description of the items involved. Note the approximate quantity, packaging format and whether you know the total dimensions or weight.
If measurements are estimates, label them as estimates. Avoid presenting unconfirmed figures as final.
02Explain the locations
Identify where the goods are now and the destination you want to discuss. Include any collection or delivery access details that you already know.
A named location is more useful than a broad region. You can share further address information directly when the team needs it.
03Set out your priorities
Explain your preferred timing and distinguish a firm deadline from a flexible preference. Mention any known handling concerns so they can be discussed.
Tell the team whether this is a one-off enquiry or whether you are exploring an ongoing requirement. No arrangement is assumed from the initial message.
04Prepare your questions
Ask which information is needed to assess your request, what scope is being discussed and how the next steps would be confirmed.
Use the checklist below as a starting point. It is a preparation aid, not a statement that every logistics activity is available.
